Terms of Reference
Purpose
- To oversee and coordinate student support and welfare services at World University of Bangladesh (WUB).
- To ensure the delivery of accessible, effective, inclusive, and student-centered services.
- To support students' academic, personal, social, cultural, and professional development.
Objectives
- To identify and address students' needs and concerns.
- To improve the quality and effectiveness of student support services.
- To strengthen coordination among the Office of Student Affairs, academic departments, and other relevant offices.
- To promote a safe, supportive, respectful, and inclusive campus environment.
Key Responsibilities
- Coordinate and monitor student support and welfare services.
- Review student requests, concerns, complaints, and service-related issues.
- Facilitate counseling, career guidance, health, welfare, and other support services.
- Coordinate orientation and student engagement programs.
- Support co-curricular, extracurricular, cultural, sports, and recreational activities.
- Promote student participation and leadership development.
- Ensure appropriate support for students with special needs and vulnerable students.
- Collect and review student feedback and satisfaction.
- Recommend improvements to student services and facilities.
- Maintain proper records and documentation of student service activities.
- Coordinate with relevant committees during emergencies or critical student-related matters.
- Ensure compliance with WUB policies, rules, regulations, and applicable laws.
Monitoring and Evaluation
- Regularly assess the effectiveness of student services.
- Conduct student feedback surveys and consultations when necessary.
- Identify service gaps and recommend corrective measures.
- Review progress against approved student service plans and targets.
Meetings
- The Group shall meet regularly, preferably at least once each semester.
- Additional meetings may be arranged when urgent student-related matters arise.
- Minutes of meetings shall be properly recorded and maintained.
Reporting
- Prepare periodic reports on student services, activities, challenges, and achievements.
- Submit recommendations and reports to the appropriate authority of WUB.
- Maintain relevant records for institutional monitoring, quality assurance, and accreditation purposes.
Accountability and Confidentiality
- Members shall perform their responsibilities with professionalism, fairness, integrity, and accountability.
- Student information and sensitive matters shall be handled with appropriate confidentiality.
- The Group shall work in close coordination with the University administration and relevant departments.
Expected Outcomes
- Improved quality and accessibility of student services.
- Timely resolution of student concerns.
